Job Description:

This position provides support for the Community Employment Services (CES) staff and Program Director.  The Administrative Assistant III performs the following essential duties:

  • Prioritize and complete general clerical duties as requested by program director in a timely fashion, typing from straight copy and drafts
  • Copying and scanning documents
  • Maintenance of participant files
  • Setting up and interviewing for CDC positions, as requested
  • Checking references of potential staff for Program Director
  • New staff training (computer, voice mail, timecard/audit trail, etc.)
  • Route paperwork
  • Weekly review of CES audit trails and Case Magic narratives
  • Complete Alta and DOR billing and organize billing documentation
  • Purging of participant files
  • Coordinate coverage - assist in scheduling CES staff leave/vacation requests
  • Attend CES staff meetings and take minutes
  • Review staff mileage and participant timecards for accuracy before submitting to payroll
  • Send participant monthly progress reports to Alta and DOR as necessary

Competitive pay within the Industry ($13.00 to $15.00 per hour)

Experience and Skills:

Must have a minimum of two years experience working in an administrative capacity, in services for individuals with Disabilities, with indications of increasing levels of responsibility. Employee must pass a criminal record clearance. Employee must have a valid driver’s license and a clean driving record (within InAlliance’s guidelines) from the Department of Motor Vehicles.


  • Analytical - Collects and researches data; applies sound analytical thinking using relevant information and conditions to design work flows and procedures, and to make necessary adjustments for maximum efficiency.
  • Language skills - Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of Directors, clients, customers, and the general public.
  • Reasoning ability - Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Computer skills - To perform this job successfully, an individual should have knowledge of Microsoft Office Suite to include Outlook, Power Point, Excel spreadsheet software and Microsoft Word processing software.
